Job Summary

This position is located in the Welcome Center and reports to the Accounting/ Information Systems Manager. This position performs accounting/information systems activities of the Southeastern Foundation and Alumni Association Unit assigned by the Accounting/Information Systems Manager.

Essential Duties and Responsibilities

  • Assists in maintaining the financial accounts of the Southeastern Foundation as assigned by the Accounting/Information Systems Manager. This includes entering deposits and authorizing the disbursements from Foundation/Alumni accounts held in the Southeastern Foundation.
  • Maintains an accurate University Advancement database and preparing queries for University Advancemtn mailings. This includes being the main contact point for external constituents to upgrade their information.
  • Assists in preparing monthly investment account reconciliations, investment reports, allocation, and journal entries.
  • Assists in maintaining the financial accounts of the Southeastern Foundation and the Southeastern Alumni Association as assigned by the Accounting/Information Systems Manager. This includes but is not limited to preparing deposits, database entry of gifts, preparation of all tax-deduction letters to donors, and providing scholarship information to students, faculty scholarship committees and the Student Financial Aid office.
  • Assists in recording of scholarship awards in Foundation and Alumni records. Supports/makes recommendations for improvements to the Scholarship Process.
  • Maintains and organizes various mailing and invitation queries and lists in order to more effectively reach specified constituent groups with marketing materials and notification of upcoming events.
  • Works with auditors by collecting data, preparing financial reports and providing information requested for review.
  • Reviews with the Accounting/Information Systems Manager the overall structure, mission statement and goals of the department and business related issues.
  • Provides support for the department by preparing invoices, letters, proposals, minutes, memorandums, mailings, filings and tracking RSVP lists.

Education, Training & Experience

Required: Bachelor’s degree required in accounting, business administration and/or information systems OR may substitute degree requirement with at least five years directly related experience in accounting, business administration, information systems or higher education administration and pursuit of degree in a specified area with expectation of completing degree. Effective interpersonal and communication skills. Strong computer skills in the areas of Desktop Publishing, spreadsheet and mail merge programs, Excel, MSWord, and other database software. Must have knowledge in information resource management, records retention and electronic file structures.

Preferred: Experience using Blackbaud-Raisers Edge & Financial Edge software.

Must be eligible to work in the U.S. Employment is contingent upon the results of national criminal and sex offender background checks.
