Canceling (or terminating) your Housing Contract & Checking out

 Video Instructions on How to CANCEL YOUR CONTRACT and Check Out

(Checking out of their room and not planning to return. These steps also apply to anyone who is canceling their contract and moving out before the end of the contract term.)

The following information is for students who are canceling (terminating) their Housing Contract and planning to check out of their room.

As a reminder, all SE Housing Contracts are one of three categories:

  1. An Academic Year Housing Contract includes both Fall and Spring Semesters.
  2. A Spring Only Housing Contract includes only the Spring Semester.
  3. A Summer Housing Contract includes the time from the end of the Spring Housing Contract Term through the beginning of the Fall Housing Contract Term.
  4. (Winter Intersessions Housing is by Request and is a separate process.)

Before you cancel/terminate your Housing Contract, we strongly recommend that you review the SE Housing Contract Terms & Conditions, which can be found on the Housing & Residence Life website (www.se.edu/hrl) under the Resident Forms & Documents tab.  It is important for you to understand any charges that will apply before you decide to cancel your contract. If you are canceling your Academic Year Housing Contract at the end of the Fall semester and do not plan to return for the Spring semester, remember that you must be checked out of your Fall semester room assignment by 4pm on the Friday of Finals week. Make sure that you have packed up all your items, cleaned the room/shared space, and are ready to turn your room key into the Housing Office (Johnson Student Union R, 311) by 4pm on Friday of Finals Week.

Steps to Cancel your Housing Contract and Check Out:

  1. Open your favorite internet browser and type in www.se.edu/hrl.  This will bring you to the home page for Housing and Residence Life.
  2. Scroll down to the middle of the page and select SE Housing Portal.  This is a big blue box with white lettering and a yellow arrow. 
  3. Click the link to land on the SE Housing Portal home page. 
  4. Select the ‘Log in’ tab from the yellow banner at the top of the page. Use your University credentials (email address and password) to log into the Housing Portal.
  5. Select the tab for ‘Check Outs and Contract Cancelations’ from the yellow banner across the top.  (If you do not see this option in the banner, select the menu icon – three lines on the right side of the yellow banner to open a drop-down menu of additional options.)
  6. Once the Check Outs and Contract Cancelations page opens, select “Cancel my Contract and Check Out” from the drop-down menu.  Then select “Save and Continue.”
  7. You should land on a page titled ‘Cancel My Contract and Check Out’. This page will direct you to review the Housing Contract Terms & Conditions and provides some additional information.
  8. Select the semester booking that you want to cancel.  (For someone who is canceling their Housing Contract at the end of the Fall Semester and who does not plan to return for the Spring Semester, select the Fall Booking.)
  9. This should bring up the “Cancelation Form’ which asks you to provide the reason why you are canceling your Housing Contract.  (Please complete this as accurately as possible as it provides good information for Housing Administration.) If you are continuing as an SE student, you have the option to continue your meal plan or to cancel your meal plan. If you want to cancel your meal plan, make sure that you select the box to cancel your meal plan (which is effective immediately).
  10. You must select the box that affirms that you have reviewed the Contract Terms and Conditions, then select “CANCEL MY BOOKING” in the blue box.
  11. This brings up the “Next Steps” page, which outlines the following:
    1. You must remove all personal belongings from the room/suite.
    1. You must thoroughly clean the room/shared space in the suite.
    1. You must return the key to the Housing & Residence Life Office (Johnson Student Union Rm 311) during regular business hours.  (For a check out at the end of the Fall Semester, you must complete this by 4PM on the Friday of Finals Week.)

  12. Return the key to the Housing & Residence Life Office (Johnson Student Union Rm 311) during regular business hours. Your cancelation and check out will not be completed until you return the key to the Housing & Residence Life Office, and full charges (or late check-out fees) will continue to accrue until the key is returned to the HRL Office.
  13. Checking out of your room does not automatically terminate your contract.  The process is not complete until the key is returned to the Housing & Residence Life Office.
  14. Once you complete all the steps, you should receive a written verification that you returned the key and completed the check-out process, after these steps are completed.  Retain the documentation for your records.

You have now completed the Spring Contract Termination process.
